Who is responsible for your data
Arnold Kocsis, a sole trader trading as AddressClerk, is the data controller for the personal data described here. Our business address is 8 Rattley Road, Banbury, OX16 9GH, United Kingdom. Contact us at info@addressclerk.com or through our contact page.
What we collect
When you use this website
The marketing website does not set non-essential cookies and does not run analytics or advertising trackers by default. See our cookie policy.
Our hosting provider processes ordinary request information, such as your network address, browser type, requested page and request time, to deliver and secure the website. If you submit the contact form, your network address is also used in short-lived server memory to apply a ten-minute rate limit. It is not included in the message sent to us.
When you contact us
- your name;
- your email address;
- the subject and content of your message.
When you buy an address correction
- your full address and postcode;
- the location of your property, which may include coordinates you confirm on a map or share from your device;
- your answers about what is currently wrong with the address;
- any supporting evidence you choose to send us, such as a completion statement, council tax bill, utility bill or developer site plan;
- your email address, for updates about the case.
Payments are processed by a third-party payment provider. We do not receive or store your full card details. The provider is identified when you pay and handles your payment information under its own privacy notice.
Location data specifically
Confirming exactly where your property sits is the core of the service - a correction submitted with an imprecise location is worse than useless. Where you use your device’s location to help with that, it is used to establish the property position for the correction and for nothing else. We do not track your location over time, and we do not use it for advertising or profiling.
Why we can use it (lawful bases)
- Taking steps at your request and performance of a contract: address details, location, evidence and contact details, so we can assess your request and carry out the correction you paid for.
- Legitimate interests: responding to enquiries, delivering and securing the website, preventing abuse, and keeping proportionate records of what we did and when. These activities help us operate and protect the service without overriding your rights.
- Legal obligation: retaining transaction records for tax and accounting.
Who we share it with
- Google: the address and location information necessary to submit the correction. This is unavoidable - it is the correction. We share what the submission requires and not your wider case file.
- Resend: to transmit contact messages and service emails.
- Our payment provider: to take payment and prevent payment fraud. The provider is identified at checkout.
- Vercel: to host, deliver and protect this marketing website.
- Professional advisers and public authorities: only where reasonably necessary to establish or defend legal rights, comply with the law, or prevent fraud.
We do not sell your personal data, and we do not share it with advertisers or data brokers.
International transfers
Google, Resend, Vercel or a payment provider may process personal data outside the United Kingdom. Where a restricted transfer is made, we use a lawful transfer mechanism such as UK adequacy regulations or the UK International Data Transfer Agreement or UK Addendum, together with any required transfer risk assessment. Contact us if you would like more information about the safeguards used for a particular provider.
How long we keep it
- Case data and supporting evidence: while the case is active and for 24 months after it closes, so we can answer questions and respond if a correction is later reversed.
- Contact messages: for up to 24 months after our last contact with you.
- Transaction records: for six years after the end of the relevant tax year.
- Website security data: only for the shortest period needed to deliver and secure the website. Contact-form rate-limit data is used for an active ten-minute window and remains only in ephemeral server memory until it is replaced or the server instance is recycled. Other request and security logs follow our hosting provider’s operational retention schedule and are deleted or anonymised when no longer needed for security, troubleshooting or abuse prevention.
We may keep relevant information for longer where the law requires it or where it is reasonably needed for an active complaint, dispute, fraud investigation or legal claim. When the applicable period ends, we delete or anonymise the information.
What you need to provide
You are not legally required to give us personal data. We need your address, property location and contact details to assess and perform the service; without them, we cannot accept or complete a case. Supporting evidence is optional unless we explain that it is needed to progress a particular correction. Please redact information that is not relevant before sending a document.
Your rights
Depending on the circumstances and the lawful basis being used, UK data protection law lets you:
- ask for a copy of the personal data we hold about you;
- ask us to correct inaccurate or incomplete data;
- ask us to delete data we no longer need to keep;
- ask us to restrict how we use your data;
- object to processing based on legitimate interests;
- ask for data you provided to be transferred in a portable format.
Email info@addressclerk.com to exercise a right. We normally respond within one month and may first need to verify your identity. You will not usually have to pay a fee. If you are unhappy with our response, you can complain to the Information Commissioner’s Office at ico.org.uk/make-a-complaint.
Automated decisions
We do not use your personal data to make decisions based solely on automated processing that have legal or similarly significant effects on you, and we do not use it for profiling.
Security
Data is transmitted over encrypted connections and access is limited to those who need it to provide the service. No system is perfectly secure, but we do not ask for information we do not need - which is the most effective protection available.
We will never ask you for card details, passwords or full bank statements in support of an address correction. If something claiming to be from us does, it is not from us.
Changes
We will update this page when our processing changes, and the “last updated” date at the top will change with it.
